Job Description:
The Facilities Senior Associate is an intermediate-level professional responsible for supporting facilities-related activities and operational initiatives. This role applies practical knowledge of facilities operations and procurement processes to manage moderately complex assignments, support departmental objectives, and contribute to project milestones.
Working under moderate supervision, the Facilities Senior Associate independently manages larger assignments within their job area, sets objectives aligned with project and departmental goals, and makes basic process or system adjustments to resolve routine operational issues. This role regularly communicates with internal stakeholders, customers, and vendors to explain and interpret operational processes, practices, and procedures.
The ideal candidate brings a strong understanding of procurement practices within a facilities environment, including vendor management and is capable of identifying and addressing changes or issues within their area of responsibility.
Essential Functions:
- Must be able to obtain a security clearance
- Support the indirect procurement of facilities-related goods and services, including sourcing, purchasing, and vendor coordination.
- Manage moderately complex projects and assignments related to facilities operations and procurement activities.
- Work independently under moderate supervision to establish priorities and meet operational and project goals.
- Communicate with internal teams, customers, and external vendors to explain and interpret indirect procurement and facilities processes, procedures, and expectations.
- Assist in evaluating vendor performance, negotiating terms, and maintaining productive supplier relationships.
- Identify, define, and resolve routine issues within the facilities procurement function by applying prior experience, standard procedures, and basic analysis.
- Make basic adjustments to systems and processes to improve efficiency, accuracy, and service delivery.
- Contribute to operational targets within the department and support the completion of milestones associated with specific projects.
- Provide guidance and assistance to entry-level professionals and support staff, as needed.
- Maintain procurement records, documentation, and compliance with internal policies and procedures.
- Collaborate cross-functionally with facilities, finance, operations, and procurement teams to ensure timely and cost-effective support of business needs.
Qualifications:
- Bachelor’s Degree and a minimum of 2 years of prior related experience. Graduate Degree or equivalent with 0 to 2 years of prior related experience. In lieu of a degree, minimum of 6 years of prior related experience.
- Ability to contribute to departmental operational targets and project milestones.
Preferred Skills:
- Vendor negotiation experience.
- Procurement experience
- SAP experience preferred.
- Experience working with facilities-related contracts, suppliers, and service providers.
- Strong organizational skills and attention to detail.
- Ability to manage multiple priorities in a dynamic operational environment.
