Job Description:

L3Harris Space Systems Sector is seeking an Administrative Assistant to support the NEOS portfolio. Primary support is to the Director and corresponding team, and as needed other staff located in the same office complex.  This position provides the opportunity to work with dynamic teams and customers and offers the opportunity to grow your responsibility. 

This role requires a proactive, highly organized, and detail-oriented individual who can manage multiple tasks simultaneously ensuring the smooth operation of business operations. The ideal candidate will possess excellent communication skills, the ability to handle sensitive information with discretion, and a strong understanding of the operational cadence of a large corporation.  We are looking for someone who naturally operates with a customer service mindset enabling them to partner with a broad range of personalities and adapt to unique traits and working styles.

Essential Functions: 

  • Provide complex and dynamic scheduling and calendar support. Advance preparation for all commitments and engagements, including comprehensive briefing materials and pre-reads, meeting agendas, presentations, itineraries etc. Review all materials for accuracy and completeness. Prepare and edit correspondence, reports, presentations, and other documents.
  • Assist with the preparation of meetings, presentations, reports, spreadsheets, letters, memorandums, and agendas inclusive of note taking and conducting follow-up on action items.
  • Management of portfolio operational requirements, visitor logistics, coordination of meetings and events, conference room setup, teleconferences, catering and business meals, and support of communications to internal and external customers.
  • Manage, coordinate, and arrange travel and travel-related activities, including hotel booking, transportation, facility coordination and expense reporting. 
  • Support facility space planning via tracking, coordination, assignments, and ensuring spaces are prepared for office moves and new hires.
  • Facilitate hiring by supporting all aspects of interview process (scheduling phone screens and interviews, and aligning schedules across interview panelists, etc.)
  • Support timecard management as timecard representative, run reports for timecard errors/labor corrections, and create/route OT requests.
  • Manage training compliance and department training as necessary.
  • Coordinate with security personnel to ensure clearances and facilities are suitable for the meetings and visitors.
  • Responsible for purchase orders and managing office supply inventory with ordering authority that may eventually include delegated buyer authority.
  • Serve as primary POC for conference room maintenance (IT support, scheduling & prioritization)
  • Coordinate cross-functional teams and facilitate communication to ensure project and portfolio milestones are met.
  • Participate in the planning and execution of company events and meetings.

Basic Qualifications:

  • Requires a High School Diploma or equivalent and a minimum of 6 years of prior relevant experience or 2 years post-Secondary/Associates Degree with a minimum of 2 years of prior related experience
  • Must be able to obtain clearance

Preferred Additional Skills:

  • Active TS/SCI Security Clearance is preferred
  • Excellent verbal and written communication skills; efficient time management
  • Upholds a strict level of confidentiality
  • Highly proficient with Microsoft (PowerPoint, Word, Excel, Outlook, Teams, SharePoint), Zoom, SAP Concur
  • Advanced job knowledge/skills typically obtained through a combination of education and experience as an administrative assistant
  • Excellent organizational skills with the ability to multi-task including the ability to prioritize tasks
  • Proactive attitude with a strong sense of initiative with ability to work independently and as part of a team
  • Maintains a professional demeanor
  • Adaptability and resilience in a fast-paced, high-pressure environment

In compliance with pay transparency requirements, the salary range for this role in New York State is $23.07/hr- $42.78/hr. This is not a guarantee of compensation or salary, as final offer amount may vary based on factors including but not limited to experience and geographic location.
