Job Description:
L3Harris is seeking an Administrative Assistant (Training Coordinator) to support the Aerojet Rocketdyne Segment at the Orange, VA location. Responsibilities include creating presentations/weekly reports, scheduling meetings/morale events, booking travel, submitting expense reports, managing leadership/conference room calendars, proposal tracker, and other departmental administrative tasks assigned in support of the Program Office Team. Management of departmental leadership calendars and conference room scheduling.
Essential Functions:
Under minimal supervision, performs a variety of administrative support duties that are complex in nature and where judgment and initiative are required in resolving problems and making recommendations.
Proactively organize calendar schedules, email and the day-to-day support of the executives/site leadership.
Assist with catering to support business meetings for site leadership and other departments.
Provide comprehensive administration support to executives/leadership, exercising confidentiality and diplomacy, supported by an understanding of the strategy and priorities of the organization.
Be part of a highly collaborative and supportive team member that work together across the team.
Coordinate travel and international travel arrangements, and accommodation requirements in connection with others and ensure arrangements in place.
Build and maintain strong working relationships with a broad range of stakeholders from different business units, functions, and within greater AR segment, as necessary.
Support administration when required for note taking, group meetings and general support if needed.
Support general office duties, to include ordering supplies as needed.
Assist with All Hands Meetings, Monthly Management Meetings and employee morale events.
Monitor learner’s training requirement with direction from management.
Manage class and course enrollment for learners, submit completed rosters and mark learner’s completions.
Create reports for a quick view of learner’s training history and escalate learners with overdue training to management.
Facilitate onboarding for new hires.
Support site management and enterprise LMS team on new course implementation.
Support AS9100 Site Audit for training and development.
Ability to obtain US Security Clearence.
Qualifications:
Bachelor’s Degree and minimum 4 years of prior relevant administrative experience. Graduate Degree and a minimum of 2 years of prior related administrative experience. In lieu of a degree, minimum of 8 years of prior related administrative experience.
2+ years experience in managing administrative duties for a business office or small team.
2+ years experience with Microsoft Office Tools, to include Excel.
Preferred Additional Skills:
Excellent verbal and written communication.
Driven and resourceful to manage own workload, with flexibility to prioritize and deliver against deadlines with minimal supervision.
