L3 Technologies MAS, located in Trenton (ON), is a subsidiary of L3Harris Technologies, Inc.  For more than 12 years, we have been repairing, maintaining and modernizing the CC-150 Polaris fleet operated by the Royal Canadian Air Force.  The CC-150 Polaris fleet and CC-330 Husky fleet are used by the government of Canada for high-profile missions as VVIP transportation and strategic air-to-air refueling, as well as passenger, freight and medical evacuation transportation. As the prime contractor, L3 MAS is providing overall program management, material management and engineering support services, as well as line and heavy maintenance support and component maintenance, repair and overhaul (MRO) services.

As an Operations Support Coordinator and non-unionized employee, you will be an integral part of the admin team, working with the Operations Manager, Supervisors and employees (union and non-union) to provide administrative support and office services to approx. 80 employees in Trenton and Ottawa.  You will be responsible for supporting Operations management in daily operations related to Line & Heavy Maintenance activities, and you will provide a link between operations and the Human Resource and Finance staff at MAS headquarters in Mirabel.


Essential Functions:

  • Under minimal supervision, you will support the operations management team in their day-to-day operations;
  • Work closely with L3 and RCAF 437 Squadron to schedule and assign qualified maintenance workforce to support RCAF operations while respecting the collective bargaining agreement;
  • Book hotels, rental vehicles and liaise with travel partners to assist travelling employees (Locally and/or Internationally) in support of RCAF CC-150 Polaris fleet and CC-330 Husky fleet maintenance operations;
  • Act as focal point(POC) for internal (staff and unionized employees) and external clients;
  • Create trips in SAP for all staff, submit ITAPs, manage the trip process and ensure travelling staff submit claims and expenses on time, enter claims and expenses documents and follow-up with management approval;
  • Update staff schedules daily, including sick days, vacation, etc.;
  • Support staff questions on timesheets, pay, claims and expenses;
  • Provide administrative support to Heavy Maintenance activities such as entering data, and vetting contractor timesheets;
  • Provide administrative support to the Operations manager such as: create various presentations in PowerPoint, Excel spreadsheets, compiling reports, take meeting minutes, and conduct financial analysis;
  • Responsible for payment and record keeping for all invoices and payment of goods and services in systems such as Ariba, SAP;
  • Support procedure updates (TOP, AMP, etc.) in relation to corrective action requests (CARs) raised;
  • Reserve conference rooms, classrooms, book trainings as required;
  • Support site visits from external teams by organizing visitor badges, escorting parties in/out of security areas and coordinating site activities with manager/associate managers;
  • Request and track RPOPs work requests (infrastructure issues); and
  • Other duties as assigned by your manager.

Qualifications:

  • Requires a High School Diploma or equivalent and a minimum of 5 years of prior relevant experience or 2 years post-Secondary/Associates;
  • Degree with a minimum of 2 years of prior related experience;
  • Requires fully proficient job knowledge/skills.;
  • Five (5) years’ experience in a similar position;
  • Advanced knowledge of MS Office Suite (Word, Excel, PowerPoint); and
  • Knowledge of SAP or any other ERP (Enterprise Resources Planning) system, an asset.


Eligibility Criteria:

  • Eligible for registration in the Controlled Goods Program;
  • Eligible to obtain and maintain Canadian Government Reliability Status and Security Clearance Level II (SECRET); and
  • Availability to support on-call evening and weekends on a rotational basis.
