Job Description:
We are seeking a highly organized and detail-oriented individual for the Administration D position. This role is critical in ensuring that our operational processes are well-managed, efficient, and compliant with company standards. The ideal candidate will have a strong background in administrative support, operations management, and process optimization. This position requires excellent communication skills, the ability to multitask, and a proactive approach to problem-solving. Highly developed support individual contributor. Works autonomously. May act as a mentor to lower level peers and provide guidance on tasks. Makes recommendations for solutions. Works on assignments requiring judgment and initiative.Communicates with contacts typically within and outside the department on matters that involve obtaining or providing information requiring explanation or interpretation to understand and reach agreement. Makes recommendations for solutions. Work is structured within identified boundaries and procedures. May work on assignments requiring judgment and initiative. Uses knowledge and experience to resolve issues. Works to achieve operational targets within job area which has impact on the overall achievement of results for the team. Work is of larger scope, typically on less structured task-related activities requiring judgement.
Essential Functions:
- Provide comprehensive administrative support to an organization of 400+ employees.
- Answer phones, manage calendars, and prepare for meetings.
- Ensure the office runs smoothly, addressing concerns promptly and efficiently.
- Help leaders manage their time and tasks by alleviating administrative burdens.
- Maintain and update a variety of shared spreadsheets and information trackers.
- Coordinate and order lunches.
- Coordinate monthly award and recognition programs.
- Coordinate with the training department to ensure employees are scheduled for exams and compliant in all certification and compliance training.
- Process expense reports as needed.
- Handle on/off-boarding processes as needed.
- Process new hire evaluations and update related logs.
- Submit supply orders in ARIBA and manage housekeeping spreadsheets.
- Review security site information and relay important updates.
Qualifications:
- High School Diploma or equivalent and a minimum of 8 years of prior relevant experience, or 2 years post-secondary/associate’s degree with a minimum of 4 years of prior related experience.
