Job Description:
The Administrative Assistant will be responsible for supporting the Program Management team by establishing and maintaining project contract files, preparing technical reports, coordinating travel arrangements, processing expense reports, assisting with the new hire orientation, and performing a variety of other office administrative duties. The selected candidate will need to be highly organized and detail oriented.
Essential Functions:
- Establish and meticulously maintain project contract files to ensure that all contracts are easily accessible and up to date.
- Assist Project Managers to compile data and assist in preparing technical reports for internal and external stakeholders while ensuring accuracy and adherence to specified guidelines.
- Make travel arrangements for team members, including booking flights, accommodations, and transportation. Ensure that all travel details are communicated clearly and efficiently.
- Prepare and submit expense reports on behalf of team members, ensuring timely reimbursement and adherence to company policies.
- Prepare and coordinate visit requests for military installations in strict accordance with their specific policies.
- Reconcile project revenue summary with Contract budgets, POs to ensure data accuracy,
- Assist with the coordination and implementation of new hire orientation programs to ensure a smooth onboarding process for new employees.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to quickly learn new software and systems.
- Knowledge of security requirements at the various military installations.
- Excellent organizational skills with the ability to prioritize tasks and handle multiple projects simultaneously.
- Strong written and verbal communication skills.
- Attention to detail and problem-solving skills.
- Ability to work independently and as part of a team in a fast-paced environment.
- Other duties and responsibilities as assigned.
Qualifications:
- High school diploma or equivalent with four (4) years of administrative assistant experience.
- OR 2 years post-secondary/associates degree with zero (0) to two (2) years of administrative assistant experience.
- Must be a US Citizen.
Preferred Additional Skills:
- Costpoint/Deltek experience.
- Bilingual (Spanish)
In compliance with pay transparency requirements, the salary range for this role is $44,500 - $82,500. This is not a guarantee of compensation or salary, as final offer amount may vary based on factors including but not limited to experience and geographic location.
