Job Description:

L3Harris Sonoma EO is looking for an Administrative Assistant to support our Santa Rosa site. The Administrative Assistant performs administrative and staff support duties to support an assigned department. We are looking for an experienced team member who is meticulous at task management and execution excellence, can focus on problem identification and capable of independently defining and implementing relevant continuous improvement solutions. Easily adapts to changing environments and multiple competing demands, is comfortable working as an individual or in a group setting and can interact with all levels of management.

Job Functions and Responsibilities:

  • Assist with the preparation of reports, spreadsheets, briefs, agendas, and schedules.
  • Arrange travel itineraries and assist with timely submission of expense reports
  • Create and maintain department records for the following: ethics/security/IQR training, performance reviews and goals, overtime requests, seating locations, labor/pay corrections, interoffice memos, expense reports, EASRs, security paperwork, employee contact information
  • Assist with Ariba orders
  • Fulfillment of demo request orders from Sales team
  • Maintain and deliver user guides and other customer facing documentation
  • Administration of tools to track product orders, warranty details and other fulfillment-related information
  • Create/manage Excel spreadsheets, PowerPoint, reports and action item logs
  • Maintain calendars; schedule and coordinate meetings, events, interviews, and appointments; reserve conference rooms
  • Manage office supply inventory and process office supply orders
  • Serve as backup to other Administrative Assistants when necessary.

Required Skills and Qualifications:

  • High School Diploma and six (6) years related experience as an Administrative Assistant or 2 years post-Secondary/Associates Degree with a minimum of 2 years of prior related experience.
  • Knowledge of office management systems and procedures.
  • Advanced proficiency with Microsoft office suite of tools including PowerPoint, Word, Excel, Outlook, Teams and SharePoint. Ability to learn and adapt to new technology and software programs.

  • Willing to work some occasional extended hours as needed

Special Requirements:

  • An active DoD security clearance is desired. Applicants selected will be subject to a government security investigation and must meet and maintain eligibility requirements for access to DoD classified information. US Citizenship required.
