The Opportunity

We are seeking an experienced Proposal Coordinator to join our Bids and Proposal Team in our Eight Mile Plains office.

This position operates as part of our PMO Functional team reporting directly to the Program Director who will agree with you how best to work with the Capture Leads and Account Managers on a daily basis to execute Proposals to a successful conclusion.

In collaboration with the key stakeholders of BD/Sales, Project Management and Engineering, you will manage the Company’s bids and proposals through the necessary development and approvals process. Included in this will be a need for you to exercise initiative by using your experience and judgement to add value to our proposals as they grow from a business lead to a documented submission.

A key responsibility will be using your MS Office skills and editing knowhow to ensure the proposal documents are of the highest quality and meet the Corporate standards.

The successful candidate will be supported by our PMO and BD/Sales teams including our Sales Operations Officer with whom you will interact daily. This position has the potential for the right person to own an important function and assume additional responsibilities in the role as a full time salaried employee in a Company that is growing.

The key responsibilities and selection criteria are listed below:

Key Responsibilities

  • Participate in identifying and executing proposals as part of the Company business development effort.
  • Drive the successful development of large and small bids in collaboration with key people across the organisation
  • In collaboration with the BD/Sales, Project Management and Engineering teams, manage the Company Proposal approval process by identifying and documenting the necessary approvals schedule, reserving calendar appointments needed to meet the identified schedule, and supporting the creation of the approvals documentation.
  • In collaboration with the BD/Sales, Project Management and Engineering teams, analyse and understand proposal requirements in order to advise the business of the resources required for proposal preparation and submission.
  • In collaboration with the BD/Sales, PM and Engineering teams, prepare the proposal cost estimates for presentation to and approval by Management.
  • Manage approved proposal budgets including weekly timesheet bookings and material expenditure.
  • Facilitate proposal preparation through activities such as preparation workshops, coordination of peer reviews, and following up action items from various reviews and meetings.
  • Providing editorial support as needed to ensure the highest standard of presentation and proposal quality.
  • Conduct lessons learnt sessions (White Hat Review) post proposal submission and present improvement measures to Management.
  • Manage the Company Sales/BD/Proposals archive to allow re-use where appropriate.
  • Ensure that bid deliverables are to the appropriate levels of quality, on schedule, within budget, and in accordance with the bid plans
  • Participate in the tracking and reporting of the Company Sales opportunities using the Company-wide Customer Relationship Management (CRM) database. This will necessarily include routine maintenance such as working with the Business Development (BD) Managers and Sales Operations Officer to update opportunities as their status changes as well as maintaining a suite of standard reports.

Selection Criteria – Essential

  • Minimum 3+ years’ bid co-ordinating experience combined with a proven track record of delivering winning opportunities, preferably in a technical engineering environment
  • Must be able to hold and maintain an Australian Government Security Vetting Agency (AGSVA) Negative Vetting Level 1 (NV1) security clearance.
  • Strong interpersonal skills combined with experience of managing relationships with colleagues, customers and suppliers.
  • A self-motivated team player, able to operate with the minimum of supervision and communicate clearly with employees at all levels
  • Excellent communication skills, both written and oral
  • Advanced Microsoft Office skills
  • Exceptional proofreading and copy writing skills
  • Ability to read and interpret tenders and contracts

Selection Criteria – Desirable

  • Australian Standard for Defence Contracting (ASDEFCON) experience will be highly regarded
  • Experience in working with Government organisations and international customers
  • An understanding of Australian and international Defence regulations such as EAR and ITAR
  • A degree in an appropriate technical subject
  • A recognised qualification in Bid Management such as APMP, Shipley,
  • Understanding of business strategy and financial analysis
  • Working knowledge of ERP systems such as Deltek Costpoint

Candidates MUST be Australian citizens as eligibility to hold an Australian Department of Defence Security Clearance is a requirement of the position. A current Security Clearance of NV1 or higher is desirable.
